Client Portal and SMS communication Terms of Service

Welcome to the Pacific Wellness & Integrative Family Psychiatry Client Portal. This portal, hosted through Tebra https://help.kareo.com/login  enhances communication and facilitates access to your healthcare information. By accessing or using the client portal, you agree to the following terms and conditions:


1. Purpose of the Client Portal and messaging system

The client portal allows patients to:

  • Securely communicate with their provider
  • Access medical records, treatment plans, and lab results
  • Request and manage appointments
  • Receive important updates regarding care and treatment
  • Request prescription refills

2. Eligibility and Access

  • You must be an active Pacific Wellness & Integrative Family Psychiatry patient to use the portal.
  • Access to the portal is granted at the provider's discretion and may be revoked if terms are violated.
  • You are responsible for maintaining the confidentiality of your login credentials. Unauthorized use of your account must be reported immediately.


3. Privacy and Security

  • Your personal health information (PHI) is protected under HIPAA (Health Insurance Portability and Accountability Act).
  • Secure messaging should be used for non-urgent medical inquiries only. Call 911 or go to the nearest emergency room if you have an emergency.
  • While we take security seriously, no online system is entirely risk-free. You acknowledge the inherent risks of electronic communication.


4. Telehealth Services

  • Pacific Wellness & Integrative Family Psychiatry offers telehealth services through the Tebra platform.
  • By using telehealth, you consent to receive psychiatric evaluations, medication management, and treatment recommendations via secure video conferencing.
  • Telehealth may not be appropriate for all conditions. If in-person care is required, you will be advised accordingly.
  • You must ensure a private, secure environment for your telehealth sessions and use a stable internet connection.
  • By registering for SMS notifications, you agree to the terms and conditions set forth by Pacific Wellness & Integrative Family Psychiatry.'


5. Appointment Scheduling and Cancellations

  • Appointments can be scheduled through the portal or by contacting our office directly.
  • A 24-hour notice is required for cancellations or reschedules to avoid a cancellation fee.
  • Missed appointments without notice may result in additional charges and/or termination of services.


6. Prescription Requests and Medication Management

  • Prescription refill requests should be submitted through the portal at least three business days before running out of medication.
  • Controlled substances require additional review and are subject to state and federal regulations.
  • Medication adjustments will be determined based on medical necessity and patient response.


7. Communication Guidelines

  • The portal is not monitored 24/7. Responses to messages may take up to 2 business days.
  • Do not use the portal for emergencies. Call 911 or seek immediate medical care.
  • Messages should be concise and related to your treatment plan. For complex concerns, schedule an appointment.


8. Financial Responsibility and Insurance

  • Patients are responsible for understanding their insurance benefits and coverage.
  • Co-pays, deductibles, and out-of-pocket fees are due at the time of service.
  • Telehealth services may be covered differently than in-person visits; please verify with your insurance provider.


9. Termination of Portal Access

  • Your access to the client portal may be suspended or terminated for violations of these terms, including but not limited to misuse of the portal, failure to comply with treatment recommendations, or inappropriate communication.


10. Changes to These Terms

  • Pacific Wellness & Integrative Family Psychiatry reserves the right to modify these terms anytime. Continued use of the portal constitutes acceptance of any updates.
