Website Practices & HIPAA-Safe Communication
How to reach us, where PHI belongs, and what to expect with scheduling and wellness purchases.
At Pacific Wellness & Integrative Family Psychiatry, we keep things simple, safe, and kind. This page explains how to contact us, where protected health information (PHI) should go and how our new services and partner links fit into care.
How to Contact Us (and where messages go)
Psychiatry (new or existing): Use the Client Portal (Charm) for intake, consents, scheduling requests, and clinical messages. PHI belongs in the Portal.
Telemedicine with insurance: Start in Rula. They verify your coverage and complete their onboarding flow.
Phone/SMS: Our office number routes through Spruce for HIPAA-capable communication. If a call is your first touch, we’ll still ask you to create a Portal account and finish intake before scheduling.
Email/Website forms: Non-PHI only (general questions). For clinical questions, please use the Portal.
PHI & Your Privacy
This website does not collect PHI.
PHI goes in Charm (or other HIPAA tools we specify).
For psychiatry, we review your Portal intake and then offer times. No same-day self-booking for new patients.
Services & Scheduling (quick map)
Psychiatry (in-person): HMSA + Med-QUEST accepted; Medicare not accepted. New patients complete Portal intake first; we schedule after review.
Telemedicine (insurance): Rula handles coverage checks and onboarding.
Wellness: BrainTap® & NeuralChek HRV: New clients complete Portal intake first so we can schedule your initial in-person evaluation.
329 Card (Medical Cannabis): Intake via Portal → in-person evaluation → complete DOH steps.
Wellness Purchases & Partners
In-clinic sessions (BrainTap/HRV) are scheduled only after intake.
At-home options & devices (e.g., BrainTap headsets/memberships) may be offered via affiliate links. Purchases are fulfilled by the partner site and subject to their terms.
We clearly label any partner/affiliate links; they help support our clinic at no additional cost to you.
Emergencies
If you’re in crisis, call 911 or go to the nearest emergency department.
